Setup Multi Factor Authentication for your Office 365 Account
Please note: an administrator has to enable MFA on your account before you can proceed. Once your administrator has enabled MFA you need to follow the steps immediately or you will lose access to your email and web-based applications. 1 Overview 1.1 Purpose Add an extra layer of security to your Nine Energy account. 1.2 Summary MFA is an effective way to provide enhanced security. Traditional usernames and passwords can be stolen, and they’ve become increasingly more vulnerable to brute force attacks. MFA creates multiple layers of security to help increase the confidence that the user requesting access is who they claim to be. With MFA, a cybercriminal may steal one credential but will be thwarted by having to verify identity in a different manner. Examples of Multi-Factor Authentication include using a combination of these elements to authenticate: Codes generated by smartphone apps Badges, USB devices, or other physical devices Soft tokens, certificates Fingerprints Codes sent to an email address Facial recognition Retina or iris scanning Behavioral analysis Risk score Answers to personal security questions 2 Procedure As a first step, download and install Microsoft Authenticator on your mobile device (cell phone). It is available for Windows Phone, Android, and iOS. All versions Microsoft Authenticator will have a blue background with a lock image. (Images show the Apple App Store and Google play store) Please note: You will need a computer and your cell phone to complete these steps. Once MFA is enabled on your account you need to follow these steps immediately or you will lose access to your email and other web-based applications (EHS, Egnnyte, etc.) After you have downloaded and installed the app on your phone, use your computer to browse to this webpage https://aka.ms/MFASetup and sign into Office 365 with your email address and password. You will be asked to provide more information, click Next. You will have to choose an authentication method, click “Add Method”, select “Authentication App” and then click add In the next step, you will be asked to the configure the mobile app, you should already have this installed from step one. Once you get to the QR code the next steps will be directly in the Microsoft Authenticator App. Open the Microsoft Authenticator App that you downloaded in step 1 and follow the steps below to add your account. Please note: Do not scan the QR code in this document, you will need to scan the QR code on your computer screen. After you scan the QR code, this will setup and verify the mobile app, then click next Microsoft will send a notification to verify your app is setup correctly. Tap Approve on your mobile device. After you tap approve on your mobile phone, go back to the web page to verify the app is setup. If you see the screen below, click next. You will now see the “Authentication App” in your list of methods. You’re all set! Register your personal devices - BYOD Enrollment
Overview 1.1 Purpose Provide access to company resources such as email access and other Nine applications from an employee’s personal device. This procedure is only applicable to cell phones that were not issued by Nine Energy Service. Please note: This will be enforced starting on 5/20/2022 Procedures 2.1 IOS Devices Please Note: If you have your company email set up on your phone, please delete the account before starting the enrollment process. Open the App Store and Search for Company Portal. Install Intune Company Portal app. Once installed, launch the Company Portal app and tap Sign In Log in with your Nine Energy email and password. Approve the Sign-in request using MFA. NOTE: If you do not have the authenticator app setup you will receive a code via text message. If you have not set up an authentication method, you will be asked to set one up. The Company Portal will send important notifications to your device, tap on OK then Allow to receive notifications. Start the Setup process, which will require you to perform a few steps, tap on Begin. You will see the “Device management and your privacy” screen. This explains what your company can’t and can see. Review the list and tap Continue. Review privacy information is completed, tap on Continue to begin downloading the management profile. Tap on Allow to download management profile. When the download is complete tap on Close. Return to the Home Screen and open the Settings App On the Settings app tap Profile Downloaded. Tap install as shown below to begin the installation of the management profile. You will be required to enter your phone passcode to continue profile installation. Tap Install to complete the management profile installation. Tap on Install as shown below to initiate installing Microsoft Intune Root Certification Authority, which will add trusted certificates to your device. Tap Trust to continue enrollment. When complete tap Done, and the screen will display the Management Profile. Close the Settings App. Return to the Company Portal app, then tap Continue. The portal will check your device settings. During the check your will see a popup to enter your password for Exchange tap on Cancel, your email will be set up in a later step. Tap Done. From the Company Portal and we can see the various tabs such as Apps, Devices, Support, and Notifications. Close the Company Portal and open the Settings app, select Mail, then Accounts. Find the NINE account then tap Re-enter password. Sign in with your password, you may see a notice for a certificate tap Continue. You will need to Approve the sign-in request. Slide up or press the home button to return to the home screen. Open the Authenticator app or enter the code you received via text message. Once complete you will see the Company Portal App and Authenticator App on your device 2.2 Android Devices Open the Google Play Store and Search for Company Portal. Install Intune Company app. Once installed, launch the Company Portal and tap Sign In Login with your Nine Energy email and password. Approve the Sign-in request using MFA. NOTE: If you do not have the authenticator app setup you will receive a code via text message. If you have not set up an authentication method, you will be asked to set one up. Start the Setup process, which will require you to perform a few steps, tap on Begin. You will get a list for Device management regarding what your company Can’t see vs Can see. tap Continue. Tap on Allow & Continue to configure the work profile. This process can take a few minutes to complete. When the work profile is ready you will tap Next. Tap Continue to active the work profile and update device settings. Once complete tap Done. Close the Company Portal App Open the App Drawer under the work profile and tap Gmail to set up your company email. Authenticate using your email password. Tap Select to accept the app certificate. Approve the Sign-in request using MFA. Tap Done to complete the setup.
